Guide / Switching Providers

How to switch IT providers without downtime

Most practices know their IT could be better, but they stay put because switching feels risky: lost data, downtime, a painful handoff. Done right, none of that happens. Here is exactly how a clean transition works, what a good provider handles for you, and how to protect your data and your schedule along the way.

Why practices stay stuck with IT they have outgrown

The fears are understandable, and every one of them is manageable.

😬

Fear of downtime

The worry that switching means a day of dead systems and a waiting room full of patients. A planned transition is built specifically to avoid this.

💾

Fear of losing data

Worry that email, files, or patient records get lost in the move. A proper migration is staged and verified, with nothing cut over until it is confirmed.

🔒

Feeling locked in

The sense that your current provider holds the keys. You own your data and accounts, and a good incoming partner manages the handoff for you.

How a clean transition actually works

A planned, low-disruption move that keeps you running the whole time.

1
Discovery & auditWe document your systems, accounts, software, and where your data lives, and flag anything at risk before we touch it.
2
Transition planA sequenced plan with a cutover scheduled around your hours, so clinical days are never interrupted.
3
Parallel setupWe stand up monitoring, security, and access alongside your current setup, so the new environment is ready before anything changes.
4
Verified cutoverWe move email, files, and access in a controlled window, confirm everything works, and only then retire the old setup.
5
Support from day oneYour managed IT and help desk are live immediately, with our team on hand through the first weeks.

What we handle so you do not have to

The transition is our job, not your staff's.

📱

The vendor handoff

We coordinate the offboarding with your current provider, gather credentials and documentation, and chase down the loose ends so you are not stuck in the middle.

🛡️

No gap in security or HIPAA

Monitoring, MFA, backups, and HIPAA safeguards stay continuous through the move, so you are never exposed during the switch.

🦷

Your EHR and key software

We confirm your EHR and line-of-business apps are tested and working in the new environment before cutover.

📝

Documentation you keep

You finish with a documented environment and an asset inventory, so nothing about your own setup is ever a mystery again.

Your data and your contract

You are never held hostage by a provider.

Your data belongs to you, not your IT provider. Email, files, and records can be exported and moved, and a professional incoming partner handles that for you as part of onboarding. If you are under contract with your current provider, that is rarely a blocker: most agreements have a notice period or a defined out, and switching can be timed around a renewal so you do not pay twice. We will review where you stand and plan the timing with you, with no pressure.

The honest part: the only thing that makes switching hard is a provider who drags their feet on the handoff. That is exactly the kind of relationship worth leaving, and exactly the part we manage for you so it does not become your problem. Switching providers: questions, answered

Will we have downtime when we switch?

A planned transition is designed to avoid downtime. We set up the new environment in parallel and schedule the cutover around your hours, so your practice keeps running. Any brief change is handled outside clinical time wherever possible.

Could we lose email or patient data in the move?

No, when it is done properly. Migrations are staged and verified: nothing is retired until the new environment is confirmed working and the data is checked. Your records are backed up before anything moves.

What if we are still under contract with our current provider?

That is usually manageable. Most contracts have a notice period or a defined exit, and we can time the switch around your renewal so you are not paying two providers. We will review the details with you before anything starts.

What if our current provider will not cooperate?

It happens, and we plan for it. We can rebuild access and documentation independently where needed, so an uncooperative provider slows things down but does not stop your move. Your data and accounts are yours to reclaim.

What does onboarding cost when we switch to you?

This month, the onboarding labor is on us for eligible new clients. We bring your accounts into our systems, run an initial diagnosis, and harden your security. See free onboarding for the details and the fine print.
