What a dental office needs from its IT services

Imaging at every chair

Each operatory pairs a workstation with intraoral sensors, a camera and the imaging store; panoramic and 3D units write large files to a server or cloud archive. We keep drivers, bridges and storage paths identical chair to chair.

Practice software that runs the day

The practice-management system holds the schedule, charts, clinical photos, consent forms and claims. From Proactive IT we work the tickets with your software vendor and plan updates around patient time.

Front desk and guest Wi-Fi kept apart

Card terminals, check-in tablets and patient Wi-Fi sit on their own network segments, so a compromised kiosk or a patient's phone has no path to charts or x-rays.

Evening and Saturday clinics

Patching, reboots and backup jobs follow your real clinic calendar, late chairs and Saturday sessions included, instead of a generic overnight window.

We support the EHR and practice software you already use. Ask about yours. For the dental software stack in more depth, see our dental IT support overview.

IT support for dental offices across several locations

This service is designed around dental groups with 26 to 50 staff on 30 or more computers across two or three offices. Every site gets the same network design, sign-in rules and security baseline, so an associate who works in two offices signs in the same way at both. Opening a new office becomes a scheduled onsite project, with cabling, workstations and sensors planned before move-in day.

Every practice gets a named Technical Account Manager. Smaller practices share a specialist pod that looks after a handful of clients; larger groups get a dedicated pod. Groups with their own IT lead can choose co-managed IT.

Managed IT services for dental practices: what we run

Our job is to take IT and cyber worry off the practice so your team can focus on patients. As a national, remote-first company, we give each practice a named Technical Account Manager and a pod of dedicated technicians who learn its systems: fractional IT and cybersecurity experts, with no internal team to hire. Help is available 24/7 subject to your support plan, project work is scheduled onsite, and support stays proactive and personalized.

What IT support for dental practices costs

Our three plans are priced per endpoint per month, Core IT $110, Proactive IT $175 and Complete IT $295, and each includes everything in the plan below it. Count the people who sign in, not the chairs.

Worked example (arithmetic on the list prices, not a quote): a 20-chair office with 30 computers on Proactive IT: $5,250 a month at $175 per endpoint. The same 30 computers on Core IT: about $3,300 a month; on Complete IT: about $8,850 a month.

EndpointsCore ITProactive ITComplete IT
10$1,100 / mo$1,750 / mo$2,950 / mo
25$2,750 / mo$4,375 / mo$7,375 / mo
50$5,500 / mo$8,750 / mo$14,750 / mo

Prices assume a cloud-first Microsoft 365 and Windows 11 environment. Licenses, hardware, projects, migrations and onsite visits are billed separately; a Solution Architect confirms the exact price.

HIPAA and state rules for dental practices

  • HIPAA, 45 CFR 164.308. A documented risk analysis and risk management; data backup, disaster recovery and emergency mode plans; and a business associate agreement with any IT company handling patient data. We sign BAAs with healthcare clients.
  • California. The CMIA (Civil Code § 56 et seq.) requires record systems to log each change or deletion (§ 56.101); § 1798.82 sets breach notice for unencrypted medical information. See managed IT services in California.
  • Massachusetts. 201 CMR 17.00 requires a written information security program; M.G.L. c. 93H requires breach notice to state regulators and affected residents. See managed IT services in Massachusetts.
  • Florida. Fla. Stat. 501.171 requires patient notice no later than 30 days after a breach is determined; notice under HIPAA's rules also counts.

Ransomware is a HIPAA question, not only an outage. Under 45 CFR 164.402, unauthorized access to patient data is presumed to be a breach unless a documented risk assessment shows a low probability of compromise. A rehearsed recovery plan that restores practice software first, then imaging, from a backup the attacker cannot reach shortens downtime and supports that assessment. See ransomware protection for healthcare.

How to choose an IT provider for a dental practice

  1. Will you sign the BAA before touching our systems? Ask for it with the proposal.
  2. Who owns the ticket when imaging fails mid-clinic? One named owner, with vendor coordination in the plan.
  3. How are updates scheduled around evening and Saturday sessions? By the clinic calendar.
  4. Does the practice hold its own domain, admin accounts and backups? Yes, so leaving never means losing access.
  5. Is the price per endpoint, in writing, with add-ons listed apart? Then next year's bill follows headcount.

Questions dental offices ask about IT support

How much does IT support for a dental practice cost per month?

It depends on headcount and plan. As arithmetic on our list prices, not a quote, a 30-computer practice on Proactive IT: $5,250 a month at $175 per endpoint. See per-endpoint pricing.

What should managed IT for a dental office include?

A help desk for every role, device and Microsoft 365 management, monitoring, email protection, backups and a signed BAA, plus vendor coordination and, on Complete IT, a documented risk analysis.

Can one IT company support every location of a dental group on one plan?

Yes: one network design, sign-in standard and security baseline across every site, one Technical Account Manager, and per-endpoint pricing for all of it.

Will an IT provider work with our practice-management and imaging software?

We support the EHR and practice software you already use. Ask about yours. From Proactive IT we also work the vendor tickets.

Does a dental office need a HIPAA security risk analysis, and who does it?

Yes. 45 CFR 164.308(a)(1) requires an accurate and thorough risk analysis, kept current. On Complete IT we document it with you; see HIPAA risk assessment.

What happens to the schedule if our imaging server or network goes down?

Monitoring aims to catch most problems before patients arrive. The help desk works a failure remotely and schedules a technician onsite for hardware faults. After-hours emergency support is available.

Can IT support for a dental office be remote, or does someone need to come onsite?

IT services for dental clinics are mostly remote: tickets, patching, monitoring and vendor calls. Onsite visits are scheduled for hardware, cabling, new operatories and office openings, in the Bay Area and New England alike.

How do we switch dental IT providers without losing data?

Confirm the practice owns its domain, admin accounts and backups, take a fresh tested backup, then move access across in stages. See our guide to switching IT providers.
