Florida practices we build for, Tampa Bay first
Big systems set the pace around Tampa Bay. BayCare Health System, with its headquarters in Clearwater, runs 16 hospitals; Tampa General Hospital is an academic medical center and USF's primary teaching hospital. AdventHealth, HCA Florida, Orlando Health, Johns Hopkins All Children's and Moffitt Cancer Center also operate here, and Sarasota Memorial, a public not-for-profit, has hospitals in Sarasota and Venice.
Independent practices work between those systems, where every referral out and record back can leak patient data. The usual fit is a specialty group of 26 to 50 people running 30-plus computers, frequently spread over several offices.
- Dental and orthodontic groups: chairside imaging PCs, covered by dental IT support.
- Dermatology and med spas: patient photos moved off staff phones, as our med spa HIPAA guidance explains.
- Behavioral health: telehealth and therapy records locked to the right clinicians; see behavioral health IT.
- Optometry and physical therapy: aging instrument PCs and shared check-in desks; see eye care IT.
What we run for Florida practices
Florida practices hand us the IT and cyber worry so their people can stay with patients. Rather than recruit and train an internal IT department, you get fractional IT and cybersecurity experts: one named Technical Account Manager, backed by a pod of dedicated technicians assigned to your practice, from a national company that works remote-first. Help is available 24/7 subject to your support plan, onsite project work is booked with you, and support stays proactive and tailored.
Managed IT & helpdesk
Device management, Microsoft 365 administration and a helpdesk reached by phone, email or chat.
Cybersecurity
Protected, monitored devices from day one; AI phishing filters and single sign-on from Proactive IT; zero-trust access on Complete IT.
HIPAA compliance
Audit preparation, a documented HIPAA risk analysis and the written records-security policies Florida expects.
Practice software & imaging
We support the EHR and practice software you already use. Ask about yours.
Cloud & backup
Automatic file and email backup, plus encrypted VPN for staff who split the week between offices.
Switching providers
Your current provider hands over admin access and documentation; monitoring moves across with no blind spot.
What managed IT costs for a Florida practice
ACS has three plans, priced per endpoint per month: Core IT $110, Proactive IT $175 and Complete IT $295. Each plan includes everything in the one before it. Support for practice software and vendor coordination starts at Proactive IT. Compliance and risk management, plus 24/7 security monitoring by our in-house SOC, are in Complete IT. A Solution Architect confirms your exact per-endpoint price on a free 30-minute call.
Labelled arithmetic, not a quote: A 25-computer practice on Core IT: $2,750 a month at $110 per endpoint.
| Endpoints | Core IT | Proactive IT | Complete IT |
|---|---|---|---|
| 10 | $1,100 | $1,750 | $2,950 |
| 25 | $2,750 | $4,375 | $7,375 |
| 50 | $5,500 | $8,750 | $14,750 |
Monthly ranges above exclude add-ons. Prices assume a cloud-first Microsoft 365 and Windows 11 environment; onsite support and some projects are billed separately.
What Florida law adds to HIPAA
Florida adds two statutes to the federal baseline, and we map our safeguards to all three.
- HIPAA Security Rule, 45 CFR 164.308: every covered practice analyzes and manages risk in writing and holds a business associate agreement with each outside party handling patient records.
- Florida Information Protection Act (FIPA), Fla. Stat. 501.171: medical history, treatment or diagnosis and health insurance policy or subscriber numbers count as personal information that reasonable measures must protect. Notice to affected individuals is due within 30 days of determining a breach, with the Department of Legal Affairs added at 500 or more Floridians. An IT provider or other third-party agent owes the practice notice within 10 days, and disposed records must be unreadable.
- Patient records, Fla. Stat. 456.057: outside listed exceptions, releasing records or discussing a patient's condition needs written authorization, marketing use needs a specific written release, and records owners keep written security policies and train staff.
Florida counties and towns we cover
Florida coverage starts in four Tampa Bay counties. Hillsborough County takes in Tampa, Plant City, Temple Terrace and Brandon, with Riverview just south of Brandon. Pinellas County, whose county seat is Clearwater, adds St. Petersburg and Largo. Polk County brings Lakeland, with Winter Haven and Bartow nearby; Sarasota County, whose seat is Sarasota, completes the four, with Venice close by. Practices elsewhere in Florida get the same remote-first support. For Hillsborough detail, open our Tampa healthcare IT page.
How onsite works from our San Jose HQ
Florida practices are served from our San Jose, California headquarters. We support practices in the Tampa Bay area remotely, with onsite work as needed. Monitoring, patching, tickets and security alerts stay remote; hands-on jobs such as fitting out a new office or replacing a network closet are scheduled with you in advance.
Every practice gets a named Technical Account Manager. Smaller practices share a specialist pod that looks after a handful of clients; larger groups get a dedicated pod.
How to choose an IT provider for a Florida practice
- Will they sign a business associate agreement before they log in? No vendor should reach patient data until it is signed.
- Do they know FIPA's 10-day rule for service providers? Under 501.171(6)(a), a breached agent has 10 days to alert you.
- Is a risk analysis part of the deliverables? Ask what the written report covers and when it gets refreshed.
- Can you work out the monthly bill before the first call? Published per-endpoint list prices make that a multiplication.
- Who owns your accounts if you leave? Admin credentials, domains and backups should stay in your name.

Florida healthcare IT: questions practice administrators ask
Who provides HIPAA-compliant IT support for medical practices in Florida?
Atlantic Computer Systems (ACS) does, starting in Tampa Bay. The HIPAA-first MSP, headquartered in San Jose, California, signs BAAs, configures Fla. Stat. 501.171 and 456.057 safeguards and lists per-endpoint prices up front.
Our Florida clinic group has 35 computers. What will managed IT cost us?
Multiply 35 computers by the published rates: Core IT lands near $3,850, Proactive IT near $6,125 and Complete IT near $10,325 monthly, licenses, hardware and projects aside. That is arithmetic, not a quote.
Is your IT team physically in Florida, or remote?
Remote. ACS has its headquarters in San Jose, California, and no Florida location. Daily work runs remotely, onsite visits are arranged as needed, and one named Technical Account Manager stays your contact.
Which Florida laws apply to patient data on top of HIPAA?
Two statutes matter most. FIPA, Fla. Stat. 501.171, treats medical and health insurance details as personal information, demands reasonable safeguards and allows 30 days to notify affected people. Fla. Stat. 456.057 requires written security policies and staff training.
Before we hand over logins, will you put a BAA in writing?
Yes. ACS signs BAAs with its healthcare clients; ask every provider you compare for that agreement before anyone touches your systems.
Will our existing EHR and imaging systems still work with an outsourced IT team?
Name each system on the assessment call; we confirm coverage for each one before you sign anything. From Proactive IT, your pod also chases vendor tickets until they close.
Can one IT company cover our clinics in Tampa, St. Petersburg and Lakeland?
Yes. Offices across Hillsborough, Pinellas and Polk counties share one network standard, sign-in policy and security baseline on a single account, with onsite work as needed when an office opens or moves.
What happens if something breaks after hours?
After-hours emergency support is available. Anything less urgent goes to your Technical Account Manager and pod, who already know your setup.
