What med spas need from IT
Before-and-after photos and consult records
HIPAA lists full-face photographs among the identifiers that must go before a record counts as de-identified. Photos should go from a spa-owned tablet straight into charting, never to a camera roll or personal phone.
Front desk and POS on their own segment
Card terminals and the checkout computer belong on their own network segment: card-industry scoping guidance notes that on a flat network, every system is in scope once one handles card data.
Booking, charting and marketing apps
Booking, memberships, charting and text campaigns can sit in separate cloud apps, each holding client details. Each needs multi-factor sign-in, a named owner and prompt removal of leavers.
Shared tablets and evening appointments
Where injectors, nurses and aestheticians share treatment-room tablets, a HIPAA-covered spa still needs a unique sign-in for each user, so fast user switching beats a shared password, evenings and weekends included.
We support the EHR and practice software you already use. Ask about yours.
Built for multi-location aesthetics groups
We build for aesthetics groups that have grown a spa at a time to 26-50 staff and 30 or more computers. We put every location on one network design, one sign-in standard and shared device and backup policies, so a nurse injector working two sites signs in the same way at both. Each new location is a scheduled onsite project (cabling, Wi-Fi, the payment segment and treatment-room devices), checked against our IT and HIPAA checklist for opening a med spa.
Every practice gets a named Technical Account Manager. Smaller practices share a specialist pod that looks after a handful of clients; larger groups get a dedicated pod.
Medical spa IT services we run for you
IT and cyber worries become our problem, so injectors and the front desk stay focused on clients. ACS works as a national, remote-first company, and your spa is assigned a named Technical Account Manager plus a pod of dedicated technicians who get to know its systems, giving you fractional IT and cybersecurity experts instead of an in-house team to hire. That help is there when the spa needs it, 24/7 subject to your support plan. Project work is scheduled onsite and we come in to solve it, with proactive, personalized support in between.
Managed IT and help desk
Patching, device management and Microsoft 365 administration, with one help desk for the whole team.
Med spa cybersecurity
Endpoint and mobile device security, so a missing tablet can be locked or wiped.
HIPAA and PCI compliance
A written HIPAA risk analysis, policies, audit prep and PCI work for your card terminals.
Practice software and vendors
We chase tickets with your booking, charting and payment vendors for you.
Cloud backup and sign-in
File and email backup, single sign-on and an encrypted VPN for managers who move between locations.
Switching providers
A planned handover of admin accounts, with the spa keeping its domains and data.
What IT support for med spas costs
Three published plans set a spa's monthly price per endpoint: Core IT $110, Proactive IT $175 and Complete IT $295, each one including everything in the plan below it. HIPAA and PCI compliance support and SOC threat detection come with Complete IT. Licenses, hardware, projects, migrations and onsite visits are billed separately; a Solution Architect confirms the exact price.
Worked example (arithmetic on the list prices, not a quote): a 15-computer med spa on Proactive IT: $2,625 a month at $175 per endpoint.
| Endpoints | Core IT | Proactive IT | Complete IT |
|---|---|---|---|
| 10 | $1,100 / mo | $1,750 / mo | $2,950 / mo |
| 25 | $2,750 / mo | $4,375 / mo | $7,375 / mo |
| 50 | $5,500 / mo | $8,750 / mo | $14,750 / mo |
Plan prices assume a cloud-first Microsoft 365 and Windows 11 environment; a Mac or Google Workspace front desk can change the final price.
HIPAA IT for med spas: federal and state rules
HIPAA covers a provider that transmits health information electronically in a standard transaction such as an insurance claim (45 CFR 160.103), so a cash-only spa may sit outside it, though state law still applies; our explainer on HIPAA compliance for medspas walks through the test.
- HIPAA, 45 CFR 164.308. Where it applies: a written risk analysis and a BAA with each vendor handling client health information.
- California, CMIA (Civil Code § 56 et seq.). It covers licensed providers of health care, and the Medical Board of California says injections and laser treatments must be done by a physician, or a registered nurse or physician assistant under a physician's supervision, so treatment records can be medical information even without HIPAA. § 1798.82 adds breach notice within 30 calendar days for unencrypted medical information. Read how we work with California practices.
- Massachusetts, 201 CMR 17.00 and M.G.L. c. 93H. They protect residents' card, license and Social Security numbers, all common at a front desk, and require a written security program, encryption on portable devices where feasible and prompt breach notice. Read how we work with Massachusetts practices.
- Florida, Fla. Stat. 501.171. Medical history counts as personal information, and affected people must hear no later than 30 days after a breach is determined.
How to choose an IT provider for a med spa
- Will the BAA come with the proposal? If HIPAA applies, sign it before anyone gets admin access.
- Where will client photos live, and who can open them? Expect a named system, named roles and encryption.
- How will payments be kept apart from treatment rooms? Ask for the network plan, guest Wi-Fi included.
- What does adding a location involve? A written project scope plus the plan price for new staff.
- Who owns the accounts if we leave? The spa should hold the domains, admin credentials and backups.

Med spa IT support: common questions
Does HIPAA apply to a med spa?
It depends on how the spa bills. A provider becomes a HIPAA covered entity by sending health information electronically in a standard transaction, such as an insurance claim, so a cash-only spa may be outside HIPAA but still inside state privacy law. We sign BAAs with healthcare clients.
How should a med spa store before-and-after photos securely?
Use spa-owned, encrypted devices under device management, send photos straight into charting rather than camera rolls or messaging apps, limit viewing by role and back them up with the client record.
Should front-desk computers, payment terminals and treatment-room devices share a network?
No. Card terminals and the checkout computer get one segment, treatment-room devices another and guest Wi-Fi a third, which limits spread and can shrink the card-security assessment.
How much does IT support cost for a med spa with 15 staff?
Pricing is per endpoint, so this is simple math and not a quote: a 15-computer spa on Core IT: about $1,650 a month. On Proactive IT it is about $2,625, and on Complete IT about $4,425. See per-endpoint pricing.
What IT does a med spa need when it opens a second location?
The first spa's network design, sign-in standard and device policies, its own payment segment, encrypted backups and access to the same client records. We scope the build-out as a scheduled onsite project.
What should we do if a tablet with client photos is lost?
Lock and wipe it through device management, reset its passwords and record what was on it. Where HIPAA applies and the tablet was unencrypted, a breach is presumed unless a documented risk assessment shows a low probability of compromise, and notices are due no later than 60 calendar days after discovery.
