Why choosing an IT partner for an orthodontic practice is different

Orthodontic offices run on images, tight schedules and shared chairside computers, often at several locations.

The bar is higher

A records visit combines photos, x-rays and intraoral scans that must reach the planning workstation and the lab. Open bays share computers between chairs, after-school and Saturday clinics run late, and doctors who rotate between offices need the same sign-in everywhere. All of it holds patient data under HIPAA.

Full transparency

This guide is published by Atlantic Computer Systems, and we put ourselves at the top because healthcare IT is our focus. We describe every other provider fairly from public information. If another firm here fits your practice better, we would rather you find the right partner. Verify services, coverage, and pricing directly before you sign.

Which kind of provider fits which orthodontic practice

Match the provider to how your practice is built.

Multi-location group, 26-50 staff

One standard everywhere

Require the same network and sign-in setup at every site, a named account manager who knows each office, and published per-endpoint pricing. ACS is one example built for groups this size.

Single office

Depth before scale

A dental-focused firm or a healthcare MSP's entry plan can both work. Ask for a BAA, a risk analysis and a tested restore of imaging before comparing prices.

You already have an IT person

Share the load

Co-managed support adds monitoring, patching and HIPAA paperwork while your person keeps the day-to-day. See co-managed IT for practices with in-house staff.

Multi-location checklist: what to ask IT companies for orthodontists

Seven questions, and the answer to listen for.

  1. Will you sign a Business Associate Agreement before touching our systems? Right answer: yes, in writing.
  2. Will you document a HIPAA risk analysis and a plan for what it finds? Right answer: yes; 45 CFR 164.308(a)(1) requires both. See what a HIPAA risk assessment for a practice covers.
  3. Which imaging and practice-management systems do you support today? Right answer: they name them and explain how they work with each software vendor.
  4. What happens if a sensor or the schedule fails mid-clinic? Right answer: a written escalation path: who you contact, who owns the fix and how chairs keep moving.
  5. How will every office be set up the same way? Right answer: one documented standard for network, sign-in, backups and devices.
  6. Who owns the admin accounts and backups? Right answer: the practice does.
  7. Is the price written per endpoint, with extras listed? Right answer: yes, before you sign.

The same questions for physician practices are in our guide on how to choose an IT company for a medical practice.

What IT support costs for an orthodontic practice

Ask every provider for a per-endpoint number in writing.

ACS publishes its plans: Core IT is $110 per endpoint per month, Proactive IT is $175 and Complete IT is $295, and each plan includes everything in the one before it.

Worked example (arithmetic on the list prices, not a quote): a 40-computer orthodontic group across three offices on Proactive IT: $7,000 a month at $175 per endpoint.

Licenses, hardware, projects, migrations and onsite visits are billed separately; a Solution Architect confirms the exact price.

Questions about the best IT companies for orthodontic practices

Which IT company should a multi-location orthodontic practice use?

A HIPAA-first managed IT provider that signs a BAA, documents a risk analysis and runs one standard at every office. As this guide's publisher, we recommend Atlantic Computer Systems for groups of 26-50 staff. Headquartered in San Jose, we support practices across the Bay Area and serve Greater Boston, New England and Houston remotely, with onsite work as needed.

Do orthodontic practices need a dental-specialist IT company?

Not necessarily. Dental-only firms know imaging and chairside workflows; healthcare MSPs add HIPAA documentation and multi-office standards. See IT support for orthodontic practices and dental IT support.

How much does IT support cost for an orthodontic group with two offices?

Worked example (arithmetic on the list prices, not a quote): a two-office group with 35 computers on Complete IT: $10,325 a month at $295 per endpoint. New-office buildouts are billed separately. See per-endpoint pricing for every plan.

What should an orthodontist ask an IT company before signing?

Start with the BAA, the risk analysis, supported systems and who owns the admin accounts and backups; the checklist above lists all seven questions.

Can a new IT provider take over one office at a time?

Yes, and it is usually safer. A careful provider documents every site, moves one office onto the new standard, confirms imaging and backups, then repeats. See our guide to switching IT providers without downtime.

Do IT companies for orthodontists cover evening and Saturday clinics?

Coverage varies by provider and plan, so get it in writing for your latest clinic night. ACS schedules onsite project work, such as an equipment move, ahead of time. After-hours emergency support is available.

What does HIPAA require from an orthodontic practice's IT company?

An IT company with access to patient data is a business associate, so the practice needs a BAA with it (45 CFR 164.308(b)), plus a risk analysis, risk management and backup and disaster recovery plans (45 CFR 164.308(a)). Massachusetts adds a written information security program under 201 CMR 17.00; California's CMIA requires electronic record systems to log every change. We sign BAAs with healthcare clients.
