What orthodontic practices need from IT

Orthodontic office IT support centers on the chairs, the imaging stations and the front desk.

Chairside computers in an open bay

Many orthodontic clinics treat in an open bay, where assistants share the computer at each chair. Personal sign-ins with multi-factor authentication and fast user switching replace the shared login and keep chart access traceable.

Scanner and imaging workstations

Intraoral scanners, 3D imaging and photo stations push large files to the imaging server and to lab and aligner portals, so they need wired links, a backed-up image store and vendor-checked updates.

Front desk, contracts and payments

Practice-management software, contracts, claims, card terminals and patient texting meet at the front desk. Card payments get their own network segment, and any texting or forms vendor touching patient data signs a BAA first.

Evening and Saturday clinics

If your offices see patients after school, in the evening or on Saturdays, updates are scheduled outside clinic time and your support plan sets the evening and weekend help you get.

We support the EHR and practice software you already use. Ask about yours. General dentistry chairs in the same group? See dental IT support.

Built for multi-location orthodontic groups

Groups of 26-50 staff on 30 or more computers tend to drift office by office: different Wi-Fi, passwords and backup habits. We put every office on one network and sign-in standard. A new office is a scheduled onsite buildout to that standard; once it opens, its staff join your plan, priced per endpoint like everyone else.

Every practice gets a named Technical Account Manager. Smaller practices share a specialist pod that looks after a handful of clients; larger groups get a dedicated pod.

Bay Area onsite visits are scheduled from our San Jose headquarters; Massachusetts and New England groups are supported remotely with onsite work as needed. See Boston healthcare IT providers and San Jose healthcare IT providers.

Orthodontic practice IT services we run

We take the IT and cyber worry off your practice so your team can focus on patients. ACS is a national, remote-first company: a named Technical Account Manager and a pod of dedicated technicians learn your offices, so you get fractional IT and cybersecurity experts without hiring an internal team. They are available when you need them, 24/7 subject to your support plan, and project work is scheduled onsite, with proactive, personalized support in between.

What IT support for orthodontic practices costs

ACS publishes three plans, priced per endpoint per month: Core IT $110, Proactive IT $175 and Complete IT $295. Each includes everything in the one before; vendor coordination starts at Proactive IT, and Complete IT, built for regulated practices, adds compliance and risk management.

Worked example (arithmetic on the list prices, not a quote): a 30-computer orthodontic group on Proactive IT: $5,250 a month at $175 per endpoint.

Licenses, hardware, projects, migrations and onsite visits are billed separately; a Solution Architect confirms the exact price.

HIPAA and state rules for orthodontic practices

A practice that sends claims or other standard transactions electronically is a HIPAA covered entity (45 CFR 160.103), so it needs a risk analysis (164.308(a)(1)), a unique user ID for every person (164.312(a)(2)(i)) and a business associate agreement with each vendor handling patient data (164.308(b)). State rules add to that:

  • Massachusetts. If you hold residents' Social Security, driver's license or financial account numbers, 201 CMR 17.00 requires a written security program, unique user IDs and encrypted laptops; M.G.L. c. 93H requires breach notice as soon as practicable. See managed IT services in Massachusetts.
  • California. The CMIA (Civil Code 56 et seq.) requires authorization before most disclosures and automatic logging of changes to electronic records. See managed IT services in California.
  • Florida. Fla. Stat. 501.171 covers medical and health insurance information and allows 30 days to notify affected people after a breach is determined.

How to choose an IT provider for an orthodontic practice

  1. Will they sign a BAA before they touch your systems? Ask for it with the proposal.
  2. Do they document a HIPAA risk analysis? Ask how it changes when you open an office.
  3. What happens when a scanner workstation fails mid-clinic? Listen for a named person and a plan for the device vendor.
  4. Can every office share one sign-in and network standard? Shared chairside logins should end.
  5. Is the price per endpoint and in writing, and who owns the admin accounts? The practice should own them, and the backups.

Orthodontic IT support: questions practices ask

What IT support does a multi-location orthodontic practice need?

One standard for every office: personal sign-ins with multi-factor authentication, a managed network and firewall per site, current imaging workstations, tested backups and one named account manager for all of them.

How much does managed IT cost for an orthodontic practice with 30 computers?

Our plans are priced per endpoint. At 30 computers the arithmetic on our list prices, not a quote, gives about $3,300 a month on Core IT, $5,250 on Proactive IT and $8,850 on Complete IT. See managed IT pricing.

Can an IT company support our intraoral scanners and imaging workstations?

Yes, along with the computers and network they rely on. We support the EHR and practice software you already use. Ask about yours. From Proactive IT, we handle the tickets with your device vendors.

How do we keep sign-ins secure when assistants move between offices?

Give each person their own account with multi-factor authentication and single sign-on, so one secure login works at any chair or office. HIPAA requires a unique user ID for every person.

Can an IT provider set up the network for a new orthodontic office before it opens?

Yes. A new office is a scheduled onsite project, billed separately: network, Wi-Fi, firewall, workstations and printers built to your existing standard. Once it opens, its staff join your plan per endpoint.

Who helps when an evening or Saturday clinic has an IT problem?

After-hours emergency support is available. Evening and weekend coverage depends on your support plan, so bring your clinic schedule to the free call.

Is an orthodontic practice covered by HIPAA, and will the IT company sign a BAA?

Yes, if it sends claims or other standard transactions electronically, and any IT vendor handling its patient data needs a business associate agreement. We sign BAAs with healthcare clients.

Can we move to a new IT provider one office at a time?

Yes. We take over accounts, documentation and monitoring for one office, settle it, then move to the next, so each cutover touches one office. See switching IT providers.

Keep your orthodontic practice secure and running.

A free 30-minute assessment of your IT, security and HIPAA posture. No obligation.
