Buyer's Guide / 2026
Best IT Companies for Med Spas (2026)
A fair comparison of the best IT companies for med spas, from California healthcare MSPs to med spa IT support companies that write for aesthetics, for single-location spas and multi-location aesthetics groups.
Why choosing an IT company for a med spa is different
A med spa is a boutique retailer at the front desk and a medical practice in the treatment room, so aesthetic clinic IT providers must serve both.
The bar is higher
Before-and-after photos, consent forms and treatment notes sit beside memberships, gift cards and retail sales. Laser workstations, card readers and guest Wi-Fi share one building, and each new location adds sign-ins to keep separated and backed up.

Which med spa IT companies fit which practice
What to require in three common situations.
Require one standard everywhere
With several sites and 30+ computers, the risk is drift. Require one device build, network design and photo rule everywhere, a named account manager, a documented risk analysis if HIPAA applies, and written per-endpoint pricing.
Get the basics right
An aesthetics-focused firm or a healthcare MSP can serve one spa well. Insist on multi-factor sign-in, encrypted tablets, tested backups and guest Wi-Fi off the business network. Opening a second site? See our IT and HIPAA checklist for opening a med spa.
Share the load
Co-managed IT adds HIPAA documentation, security monitoring and specialist depth without replacing them; agree who holds admin rights first. See how co-managed IT for healthcare practices works.
How to choose: the questions a med spa owner should ask
Ask each provider, in writing.
- Does HIPAA apply to us, and will you sign a BAA? Right answer: they ask how you bill, then sign a Business Associate Agreement whenever they handle protected health information.
- Will you document a risk analysis? Right answer: yes, in writing, as 45 CFR 164.308(a)(1) requires, and again when you add a site. See what a HIPAA risk assessment includes.
- Where will client photos and consent forms live? Right answer: in encrypted, managed storage tied to the client record, never on personal phones.
- Which charting, booking and imaging systems do you support? Right answer: they name the kinds they support and ask what you run; our comparison of med spa EMR and practice-management software helps.
- What happens if a system fails mid-day? Right answer: a named person owns it, the team knows your setup, and a check-in fallback is planned.
- How will you separate card readers, guest Wi-Fi and treatment rooms? Right answer: separate networks, so a guest phone cannot reach client records.
- Who owns our admin accounts and backups, and what is the per-endpoint price? Right answer: you own them all, and the price is flat and written.

What IT support costs for a med spa
ACS publishes its prices per endpoint per month: Core IT is $110, Proactive IT is $175 and Complete IT is $295. Worked example (arithmetic on the list prices, not a quote): a 30-computer med spa group on Proactive IT: IT: about $5,250 a month at $175 per endpoint. The same 30 computers on Complete IT: at $295 per endpoint.
Licenses, hardware, projects, migrations and onsite visits are billed separately; a Solution Architect confirms the exact price.

Frequently asked questions
What kind of IT company should a med spa hire?
A healthcare-grade MSP that understands aesthetics work, signs a BAA when HIPAA applies, protects photos and consent records and quotes a flat per-endpoint price. ACS publishes this guide and lists itself first, so compare at least two providers.
Do med spas need a HIPAA-focused IT provider?
Often, yes. HIPAA covers a health care provider that sends health information electronically in a standard transaction such as an insurance claim (45 CFR 160.103), so a cash-only spa may fall outside it. California's Confidentiality of Medical Information Act also covers licensed providers of health care. See HIPAA compliance for med spas.
How much should a med spa pay for managed IT?
On ACS's published plans, a 20-computer med spa on Proactive IT: $3,500 a month at $175 per endpoint (arithmetic on the list prices, not a quote). Licenses, hardware and projects are billed separately; see per-endpoint pricing for every plan.
Can a general small-business IT company handle a med spa?
It can keep computers and Wi-Fi working. First check that it will sign a BAA, has documented a HIPAA risk analysis before and understands how photos and payments move through a spa; if not, a healthcare MSP fits better, and switching IT providers later is a planned project.
Which IT providers work with multi-location aesthetics groups?
Abacus says its healthcare work covers multi-site groups, and Techvera's med spa guide covers adding locations. ACS runs every site of a group to one standard, with the named Technical Account Manager and pod described above.
Who is responsible if a med spa's booking or charting vendor is breached?
Usually both of you. If HIPAA applies, the vendor is a business associate that must notify you of a breach it discovers, and your practice notifies each affected client (45 CFR 164.410 and 164.404). California Civil Code 1798.82 also requires notice to affected residents, generally within 30 calendar days of discovery.
