Why choosing an IT partner for a dental practice is different

Patient records sit on every chairside computer. See what dental IT support involves.

The bar is higher

Every operatory computer and intraoral sensor depends on one imaging server and one practice-management database; when that server stalls, chairs wait. Evening clinics, shared sign-ins and a second office raise the stakes.

This guide is published by Atlantic Computer Systems, and we put ourselves at the top because healthcare IT is our focus. We describe every other provider fairly from public information. If another firm here fits your practice better, we would rather you find the right partner. Verify services, coverage, and pricing directly before you sign.

1 · Healthcare-focused · National, remote-first

Atlantic Computer Systems (ACS)

Atlantic Computer Systems (ACS) is a HIPAA-first healthcare MSP headquartered in San Jose, California. Dental practices are one of the specialty practice types we serve. Smaller practices share a specialist pod that looks after a handful of clients; larger groups get a dedicated pod.

Best for: multi-location dental groups of 26-50 staff and 30+ computers that want one HIPAA standard and published per-endpoint pricing.

2 · Dental specialists · U.S. and Canada

MME Consulting

MME Consulting describes its work as technology planning and integration for dental specialists, naming orthodontics, oral surgery and pediatrics. Its site says it serves clinics across the U.S. and Canada.

Best for: orthodontic, oral surgery and pediatric dental practices.

3 · Dental-only · Nationwide, field and remote

Darkhorse Tech

Darkhorse Tech says it serves dental practices of all shapes and sizes nationwide, with technicians in the field and a remote service team. Its site covers dental start-ups, DSO integrations and HIPAA, and its about page mentions multi-office networks.

9 · National network · U.S., multi-site

Abacus (Abacus Group and Medicus IT)

Which kind of provider fits which practice

Match the type to your practice.

Multi-location group, 26-50 staff

One standard across every office

Ask for identical network, sign-in and backup set-ups in every office, one named account manager, a risk analysis that includes each site, and a written per-endpoint price. ACS is built around that bar.

Single office or a start-up

Dental workflow first

A single office or new build-out often fits a dental-only specialist or a regional provider with a dental program. Ask who does the onsite work and how imaging is backed up.

You already have an IT person

Co-managed support

If someone on staff already handles IT, ask for co-managed IT: the provider adds security, monitoring and backups while your person keeps the day-to-day.

Choosing among IT companies for dental offices: the questions that matter

These questions make any provider show its dental and HIPAA work in writing.

  1. Will you sign our Business Associate Agreement before anyone logs in to a chairside computer? Right answer: yes, signed before access, because HIPAA requires satisfactory written assurances from a business associate (45 CFR 164.308(b)).
  2. Will you write up a risk analysis that covers every operatory and office? Right answer: yes; 45 CFR 164.308(a)(1) requires one. Start with a HIPAA risk assessment.
  3. Which imaging, sensor and practice-management systems are your technicians working on this month? Right answer: named systems, and how they handle updates and vendor tickets.
  4. What happens when the imaging server goes down mid-clinic? Right answer: named people to escalate to, an imaging restore they have tested, and the HIPAA contingency plans for data backup, disaster recovery and emergency mode operation (45 CFR 164.308(a)(7)).
  5. How will our second and third offices match the first? Right answer: one documented baseline for every site, under one account manager.
  6. Whose name is on the admin accounts, the domain and the imaging backups? Right answer: the practice's, and you can leave with everything.
  7. Is the price written and per endpoint? Right answer: yes, with a clear list of what is billed separately.

What managed dental IT services cost

Compare every provider on the same basis.

ACS lists three plans on its pricing page: Core IT at $110, Proactive IT at $175 and Complete IT at $295 per endpoint per month. Worked example (arithmetic on the list prices, not a quote): a 35-computer dental group on Proactive IT: $6,125 a month at $175 per endpoint.

Licenses, hardware, projects, migrations and onsite visits are billed separately; a Solution Architect confirms the exact price. Ask any provider how shared operatory computers are counted. See what each plan covers in IT support plans for dental practices.

Questions about the best IT companies for dental practices

Is the best dental IT company a dental-only firm or a healthcare MSP?

Either can be. A dental-only firm works in dental imaging every day; a healthcare MSP brings HIPAA depth across specialties, which suits groups that also run medical offices. Decide on the BAA, risk analysis, downtime plan and price.

How much do dental IT companies charge per month?

Each provider sets its own price, so compare written figures. ACS publishes its plans, from Core IT at $110 to Complete IT at $295 per endpoint per month. Worked example (arithmetic, not a quote): a 26-computer dental office on Core IT: $2,860 a month at $110 per endpoint. See our published pricing.

Which IT companies support multi-location dental groups?

On their own websites, Darkhorse Tech mentions multi-office networks, Pact-One Solutions has a multi-location page, CyberDuo lists DSOs and Abacus describes multi-site support. ACS sizes the team to the group. Every practice gets a named Technical Account Manager. Smaller practices share a specialist pod that looks after a handful of clients; larger groups get a dedicated pod.

Do dental IT companies sign a Business Associate Agreement?

Ask each provider in writing before it gets access to patient data; HIPAA requires satisfactory written assurances from any business associate (45 CFR 164.308(b)). We sign BAAs with healthcare clients.

What happens if our systems go down after hours?

After-hours emergency support is available. At ACS, problems are worked remotely first, with onsite visits scheduled as needed. Fractional IT and cybersecurity experts are there when the practice needs them, 24/7 subject to your support plan.

How do we switch dental IT companies without downtime?

Plan around the clinic schedule: inventory every computer, sensor and imaging server, confirm the credentials and backups are in the practice's name, and move one office at a time. See how switching IT providers works.
