An illustrative engineering-firm scenario
Remote design work without losing control of models or identity
An engineering firm wants staff to work on models in the office, at home and on site without sending large files around informally or giving every remote user unrestricted access. This implementation scenario shows the Microsoft 365 governance, managed workstations, remote-CAD checks and business calling we would put in place. It is not a named client result.
What the modernization would include
Identity, device and file governance come before a faster remote connection.
| Area | Our work | Reason |
|---|---|---|
| Microsoft 365 governance | Project-based sharing, MFA, role-based access, joiner/leaver processes, retention and independent backup | Staff and consultants get appropriate project access without making every file public |
| Managed workstations | Enrollment, patching, graphics and driver baselines, security policy and endpoint response | Workstations remain controlled and useful at every location |
| Remote CAD access | A vendor-supported route to the office workstation, with MFA and no open remote-desktop ports | The graphics card, licensed application and large model can remain in the office |
| Business communication | Managed numbers and extensions on office phones, desktop or browser and mobile apps | Staff answer as the firm without exposing personal mobile numbers |
| Ongoing support | Named account manager, support pod, documentation, testing and review | The environment changes with projects, people and software |
How the firm would get there
Test the real workflow before relying on it.
AI readiness for design firms
Do not connect project files to Claude, ChatGPT or another assistant before governing them.
Decide which repositories and use cases are approved, then review vendor terms, DLP, retention and audit logs. An Enterprise subscription alone does not make every integration appropriate. Plugins and agents that can read or change files need the same access discipline.
- Approved sources and use cases
- No credentials or uncontrolled model uploads
- Current vendor and subprocessor terms
- Role-based access, DLP and retention
- Human review of output and changes
