Who we serve in San Ramon
Bishop Ranch, the master-planned office park that anchors San Ramon's economy, is also where two large health systems see patients. Kaiser Permanente's San Ramon Medical Offices at 2300 Camino Ramon include dermatology, women's and reproductive health, and sports medicine with physical therapy. John Muir Health opened an outpatient center at Bishop Ranch 15 on April 8, 2025, for primary care, pediatrics and urgent care. San Ramon Regional Medical Center is a joint venture that Tenet runs day to day with John Muir Health as partner. John Muir's 2023 bid for full ownership was dropped that December after a Federal Trade Commission challenge.
The independent practices we build for usually have 26 to 50 staff on 30 or more computers: multi-location dental and orthodontic groups, dermatology and med spa practices, behavioral health, physical therapy or optometry.
What we run for San Ramon practices
We exist to take IT and cyber worry off a practice's plate. As a national, remote-first company, ACS assigns your practice a named Technical Account Manager plus a pod of dedicated technicians who master your systems: fractional IT and cybersecurity experts, with no internal team to recruit and train. Those experts are there whenever the practice needs them, 24/7 subject to your support plan. Project work gets scheduled onsite and we come in to solve it, with proactive, personalized support in between.
Managed IT & helpdesk
Patching, Microsoft 365 administration and one helpdesk for front desk, clinicians and billing.
Cybersecurity
Endpoint and mobile security on every plan; zero-trust and SOC threat hunting on Complete IT.
HIPAA & CMIA compliance
A written risk analysis, policies, audit prep and a check on CMIA change logs.
Practice software & imaging
We support the EHR and practice software you already use. Ask about yours.
Cloud & backup
Cloud backup, an encrypted VPN and single sign-on for staff on several sites.
Switching providers
A planned handover of admin access, documentation and monitoring from your current provider.
What managed IT costs for a San Ramon practice
Pricing is per endpoint per month across three plans, Core IT $110, Proactive IT $175 and Complete IT $295, and each includes everything in the plan below it. Compliance and risk management, along with 24/7 security monitoring by our in-house SOC, arrive with Complete IT. Your exact per-endpoint figure is set by a Solution Architect during the free 30-minute call.
Worked example (arithmetic on the list prices, not a quote): a 25-computer practice on Core IT: $2,750 a month at $110 per endpoint.
| Endpoints | Core IT | Proactive IT | Complete IT |
|---|---|---|---|
| 10 | $1,100 / mo | $1,750 / mo | $2,950 / mo |
| 25 | $2,750 / mo | $4,375 / mo | $7,375 / mo |
| 50 | $5,500 / mo | $8,750 / mo | $14,750 / mo |
Prices assume a cloud-first Microsoft 365 and Windows 11 environment; onsite support and some projects are billed separately.
California law and HIPAA for San Ramon practices
Two rulebooks apply here: federal HIPAA and California's own privacy and breach statutes.
- CMIA, California Civil Code § 56 et seq. Disclosure needs the patient's authorization outside listed exceptions (§ 56.10). Records must stay confidential however they are created, stored or destroyed (§ 56.101(a)). Electronic record systems must protect integrity and automatically log who changed or deleted what, and when (§ 56.101(b)(1)).
- Breach notice, Civil Code § 1798.82. The statute reaches unencrypted medical and health insurance information, and affected residents must hear within 30 calendar days of discovery. Vendors holding the data must alert the practice immediately, and a sample of any notice to more than 500 Californians goes to the Attorney General.
- CCPA, as amended by the CPRA. Only for-profit businesses past its thresholds are covered and certain medical information is exempt, so check the thresholds with your advisor; CMIA and HIPAA remain the main patient-data rules.
- HIPAA, 45 CFR 164.308. A written risk analysis, ongoing risk management and a BAA with each vendor that touches PHI.
Encrypting laptops, phones and backups matters because § 1798.82 is written around unencrypted data.
Towns we cover around San Ramon
We cover practices in San Ramon and Danville, in the smaller Tri-Valley communities of Alamo, Blackhawk, Diablo, Camino Tassajara and Norris Canyon, and further into Contra Costa County in Walnut Creek and Concord. Over the Alameda County line, Dublin, Pleasanton and Livermore complete the Tri-Valley. Outside the valley, start with managed IT services across California or, for South Bay groups, healthcare IT providers in San Jose.
How onsite works from our San Jose HQ
Headquartered in San Jose, we support practices across the Bay Area and serve Greater Boston, New England and Houston remotely, with onsite work as needed. San Ramon gets routine Bay Area service: monitoring, patching, tickets and alerts run remotely, and technicians come onsite on a scheduled visit for jobs like a Bishop Ranch build-out or a second office opening.
Every practice gets a named Technical Account Manager. Smaller practices share a specialist pod that looks after a handful of clients; larger groups get a dedicated pod.
How to choose an IT provider for a San Ramon practice
- Who signs the BAA, and when? Ask for it with the proposal, not after go-live.
- Where is your latest risk analysis? It should name your systems and be redone when you add a site.
- Who reviews the CMIA change log? Your provider should know where record-system audit logs live.
- Can headcount predict next year's bill? Only with written per-endpoint pricing and add-ons listed apart.
- If you switch providers, who holds the admin accounts? The practice, not the provider, should hold the domains, credentials and backups.

San Ramon healthcare IT: questions, answered
Who provides HIPAA-compliant IT support for medical practices in San Ramon, CA?
ACS does, as a HIPAA-first healthcare MSP headquartered in San Jose: remote-first support with onsite work as needed, a signed BAA, a documented risk analysis, CMIA audit logging and per-endpoint pricing.
Roughly what does a 40-computer specialty practice in San Ramon pay for managed IT?
At 40 computers the arithmetic on our list prices, not a quote, gives about $4,400 a month for Core IT, $7,000 for Proactive IT or $11,800 for Complete IT. Licenses, hardware and projects are extra; see managed IT pricing.
Are you local to San Ramon?
We have no San Ramon address, and would rather say so plainly. From our San Jose headquarters the Tri-Valley is routine Bay Area territory: remote work first, technicians onsite when a job calls for it.
Beyond HIPAA, what California rules does a San Ramon clinic's IT have to meet?
California's CMIA (Civil Code § 56 et seq.) is the big one: patient authorization before most disclosures, confidentiality for a record's whole life and automatic logging of changes and deletions. Breaches of unencrypted data add notice duties under § 1798.82.
Does our IT company need to sign a BAA with us?
Yes, and we do: we sign BAAs with healthcare clients. That agreement is what 45 CFR 164.308(b) asks of every vendor handling PHI for a practice.
Who deals with our EHR and imaging vendors when something breaks?
We support the EHR and practice software you already use. Ask about yours. From Proactive IT, we handle those vendor tickets for you.
We run offices in San Ramon and Pleasanton. Can a single IT provider cover both sites?
Yes. Every office in a multi-site group shares one network standard, single sign-on and one security baseline under one account manager, with onsite visits scheduled wherever the work is.
Who do we call if the network goes down after hours?
After-hours emergency support is available.
