Whether you’re setting up a new office, relocating, or refreshing aging equipment, a structured IT deployment plan prevents costly mistakes and downtime. Atlantic Computer Systems has deployed IT infrastructure for hundreds of businesses — here’s the checklist we follow and recommend to every client.

Phase 1: Network Infrastructure

Before any workstations arrive, your network foundation must be solid. This includes: structured cabling (Cat6a minimum for future-proofing), enterprise-grade firewall with UTM capabilities, managed switches with VLAN segmentation, business-class Wi-Fi 6 access points with separate guest networks, and ISP circuit installation with redundant failover. Our infrastructure deployment team handles all of this, including vendor coordination and cable management.

Phase 2: Server and Cloud Setup

Most SMBs today use a hybrid approach: cloud-hosted email and collaboration (Microsoft 365) with on-premise or cloud file servers. Key decisions: Azure AD vs on-premise Active Directory, cloud backup strategy, line-of-business application hosting, and print server configuration. Our managed IT team designs the architecture and handles migration.

Phase 3: Workstation Deployment

Every workstation should be configured with your standard image before deployment. This includes: Windows 11 Pro with BitLocker encryption, Microsoft 365 apps, endpoint protection software, VPN client, and company policies. See our Recommended Hardware Guide for which devices we recommend. Each device gets joined to Azure AD, enrolled in Intune device management, and tested before handoff.

Phase 4: Security Configuration

Security must be built in from day one, not bolted on later. Essentials: MFA enforced on all accounts, conditional access policies, email filtering and anti-phishing rules, DNS filtering, endpoint detection and response (EDR), and security awareness training for all employees. Read our Cybersecurity Best Practices and Email Security Guide for the details.

Phase 5: Communication Systems

Modern offices need unified communications. Our CloudVoice VoIP solution replaces traditional phone lines with HD calling, auto-attendant, voicemail-to-email, mobile apps, and CRM integration — starting at $20/extension/month. We handle number porting so your business number stays the same.

Phase 6: Documentation and Training

A deployment isn’t complete until everything is documented and your team knows how to use it. We provide: network topology diagrams, account credential documentation (stored securely), employee onboarding procedures, escalation contacts, and hands-on training sessions.
